Essential Functions

- To maintain the strictest confidentiality on all matters relating to Marriott and the Property plus all other sales and personnel related matters.
- To provide secretarial and administrative assistance to the DOS and back up administration to the Sales Team.
- Preparation of correspondence, maintenance of appointments diary for DOS and the Sales Team.
- To provide secretarial and administrative cover to the Sales Team.
- Set up and maintain an effective filing system for the Sales Department, including a daily trace file, to ensure all weekly, monthly and bi-annual deadlines are met by the Team.
- Once training provided, to take a proactive role in the maintenance and development of Opera standards within the Sales Department.
- To provide support to the members of the Sales Team in these applications as required.
- To maintain par levels of sales brochures and ensure par levels are always maintained.
- Also responsible for ordering all stationary and administrative supplies for the Sales Departments.
- To manage the ‘slide’ library and Hotel Video collection, ensuring minimum par levels are maintained and stocks reordered on timely basis.
- Minute taking of sales meeting and other meetings where necessary.
- With the support of the sales team to complete the annual travel management contracts.
- To take responsibility and/or support as appropriate, any departmental projects as directed by the DOS.
- Checking the websites of our partners, after the proper training will take place, to ensure the correct information for our resort is being presented.
- Compiling of the reporting after training for: annual/monthly production reports, Group Sales Conversion report, monthly analysis reports, sales audit, pipeline report, daily planners, activity reports, CTM reports of the Team, training calendars, holiday schedules, need dates report.
- Handling of Purchase Orders, travelling arrangements and expenses.
- Being responsible for the updating of the Standard Operating Procedures and Sales Manual files as per DOS’s guidelines.
- Maintain and update regularly a competition file.
- Keep updated the calendarisation of activities/events/tasks/target as per DOS’s guidelines, and maintain an alert system to secure the delivery of the tasks/activities.
-To take responsibility and/or support as appropriate, any departmental projects as directed by the DOS.
